Often, yes. When your existing CRM can support the required data structure, segmentation, automation, integrations, permissions, and reporting, we build inside that system rather than requiring a migration.

Does Blackvine provide its own CRM?

No. Blackvine does not own or resell proprietary CRM software. We build inside platforms such as HubSpot and GoHighLevel, or other platforms your business already uses. See Technology for the full platform list.

Will we be required to migrate?

Not automatically. Migration is only recommended when your current system cannot reliably support the required workflows. In that case, we explain the limitation and the available options first.

Which platforms can Blackvine support?

Primary platforms include HubSpot CRM, GoHighLevel, Mailchimp, Google Analytics 4, Google Tag Manager, Google Ads conversion tracking, HubSpot forms, website forms, and landing-page routing. We may also work with other compatible email, SMS, scheduling, and practice-management platforms. We do not support every CRM or integration.

Can Blackvine integrate with scheduling or practice-management software?

We evaluate your scheduling and practice-management tools as part of the audit, and integrate when the platform's access and capabilities support the approved scope.

What happens when a direct integration is unavailable?

We identify the limitation and explain the available options, which may include cleaning up the existing system, connecting additional tools, changing the process, migrating to another CRM, or replacing the current platform.

Who writes the email and SMS messages?

Blackvine generally drafts the operational email and SMS copy used in your workflows, and runs an internal quality and risk review before it goes to you.

Who approves messages?

You do. You review and approve message content, timing, offers, and business rules before launch, unless a different approval process is agreed to in writing. Material changes may require renewed review.

Who owns the accounts, data, workflows, and reporting?

You do. The client retains ownership of its accounts, data, contacts, domains, phone numbers, workflows, reporting assets, and approved message content. See Data, Privacy & Communications for the complete policy.

What access does Blackvine need?

Only what's required for the approved scope, granted through individual user access with appropriate permissions rather than shared passwords, and reduced or removed when it's no longer required.

How does onboarding work?

Onboarding starts with business and system intake, then moves through revenue-path mapping, an implementation proposal, build and testing, and client approval before launch. See How We Work for the full process.

What does the client's staff need to do?

Provide account access or information needed for the audit, review and approve message content and workflow logic, and confirm the accuracy of the services, pricing, and policies used in messaging.

How long does implementation take?

Implementation timing depends on the condition of the current systems, the number and complexity of workflows, integration requirements, available access, data quality, client review speed, and the approved scope. The expected timeline is defined after the Revenue Leak Audit and technical review.

Is reporting included?

Blackvine builds reporting around your actual revenue path. The exact KPIs depend on the available data, systems, tracking quality, business model, and approved scope.

How are leads, bookings, and revenue attributed?

We may report attributed or influenced revenue when the underlying systems provide sufficient data to connect marketing activity, CRM activity, bookings, and completed transactions. We don't promise perfect attribution.

Does Blackvine provide ongoing management?

Yes, optionally. Our preferred model includes initial implementation plus optional ongoing monthly management, but ongoing management is not mandatory for every client.

How are revisions and scope changes handled?

Material changes to approved messages, workflows, or scope may require renewed client review before they go live.

How are unsubscribes and SMS opt-outs managed?

Our systems are built to support email unsubscribe links, SMS STOP instructions, suppression lists, and revoked-consent handling, so opted-out contacts are not messaged again.

Does Blackvine access protected health information?

Our standard practice is to avoid accessing protected health information unless it is necessary for the approved scope and appropriate safeguards, such as a Business Associate Agreement, are established first. Blackvine does not claim universal HIPAA compliance.
