Before recommending anything, we look at the systems already in place, including your CRM, practice-management software, scheduling platform, email tools, SMS tools, website forms, landing pages, analytics, advertising platforms, and tracking systems.

Existing-CRM Policy

Do I Need to Replace My Current CRM?

Not necessarily. It depends on what your current system can and can’t support.

When the client’s existing CRM can support the required data structure, segmentation, automation, integrations, permissions, and reporting, Blackvine may build inside that system rather than requiring a migration.

When the current system cannot reliably support the required workflows, Blackvine identifies the limitation and explains the available options. Those options may include cleaning up the existing system, connecting additional tools, changing the process, migrating to another CRM, or replacing the current platform.

How We Choose an Email & SMS Platform

The platform selected may depend on your existing systems, required workflows, contact volume, consent requirements, deliverability needs, integration capabilities, reporting requirements, budget, industry requirements, and data-handling considerations.

May be used for appropriate email-marketing applications, but it is not required for every client.

No Proprietary Software

Blackvine does not own or resell proprietary CRM software — we build inside platforms you can access and control.

Access & Ownership

Your Accounts, Your Ownership

When a client doesn’t already have the required CRM, email, SMS, analytics, advertising, form, or scheduling accounts, we may help create and configure new ones — always in the client’s name.

New accounts created in the client’s legal business name whenever practical The client is the primary owner or administrator Billing stays controlled by the client Blackvine added through individual user access with appropriate permissions Shared passwords avoided whenever individual access is available Client retains ownership of data, contacts, domains, and phone numbers Client retains ownership of workflows, reporting assets, and approved message content Blackvine’s access is reduced or removed when it’s no longer required Credentials and system access are not withheld from the client

Team & Contractor Access

Access to client systems is limited to people who need it for the approved work, granted on a minimum-necessary, individually-tracked basis, and removed or reduced once a task or engagement ends.
